Our Capture process


01 | Preparation

Documents are prepared for the capture process. QR code technology is deployed to split document bundles and highlight relevant pages where the information is present.


02 | Digitise

The prepared documents are digitised using the latest high speed document scanning technology and software, converting the paper documents into searchable PDF files.


03 | Capture

The fully digitised PDF’s are processed through our intelligent software, programmed to capture the information you require from each document or file.


04 | Export

The data is used to index the PDF’s with your chosen fields, or to populate separate CSV or excel documents. The PDF’s are uploaded to your chosen cloud or FTP solution.

OCR Technology

Optical character recognition

Optical Character Recognition, or OCR as it’s more commonly known is a technology that identifies text within a digital image. It can be used to create searchable documents and files, or exported to help index files and create databases.

ICR Technology

Intelligent character recognition

Intelligent Character Recognition, also known as ICR can be used to identify and extract handwriting within a digital image. Like OCR, it can be used to create searchable files or to re-locate, re-route, catalogue or index important documents.

Barcode implementation

QR identification, separation & routing

QR codes can be placed onto documents to imbed information, split a stack of paper, re-route documents to their correct folder locations and to identify areas of a document that contains the key information required for capture purposes. We can also capture information from barcodes used on existing documentation, such as Patient ID’s, examination, Airline and freight barcodes.

OMR Technology

Optical mark recognition

OMR captures the information from handwritten or marked documents such as questionnaires. It identifies the marks made in the predefined zones and proves extremely efficient for capturing data for use with marketing and research.

File indexing  

Capturing information for file re-naming

One of the best reasons to digitise your documents is so that you can find what you need quickly. Indexing your files or documents with the correct information is the first step to achieving this. We can do this by either manually copying this information from the file spine, wallet front cover, or an accompanying list. We can also utilise advanced technology to capture the information from documentation within the file, such as a client name or invoice number for example.

Data Capture is the process of collecting data from digitised documents. The data can then be used in a variety of ways to simplify and streamline business processes, or to index (name) the digitised documents themselves.

The short answer is YES. We use a technology called ICR to extract handwritten information from documents in the same way as we OCR to extract printed information.

Although, not as accurate as OCR, ICR can prove very effective, depending on the handwriting, quality and the age of document.
