The challenge

Handling thousands of legal documents every year, including conveyancing files, deeds, wills, probate records and client documentation, Davisons Law needed a secure and reliable way to manage both active and archived files across its growing network of offices.

Although Davisons operates a digital case management system, many staff still work with paper files as part of their day-to-day processes. This means that important documents continued to accumulate across multiple offices, creating storage challenges and making it harder to retrieve information quickly when clients requested it.

The firm also has a legal obligation to securely retain documents such as wills, deeds, and probate records, while ensuring they remain accessible whenever needed.  Responding to requests for historic files, missing conveyancing records or previous property transactions was time-consuming, especially when records were stored across different locations.

As the business continued its transition towards a more paper-lite way of working, they needed a trusted partner that could support both secure document scanning and compliant document storage while fitting around their existing processes.

The solution

Paper Escape implemented a secure document scanning and records management service tailored to Davisons’ multi-site operation.

Each office prepares its files before contacting our client care team to arrange collection. The team coordinates collections across multiple locations wherever possible to maximise efficiency.

Once received, every box is logged into Paper Escape’s secure box tracking system before being routed either to the Production Centre for scanning or to the secure warehouse for long-term storage. Each file is professionally prepared and scanned to create a searchable, multi-page PDF. Every document undergoes quality assurance, with blank pages removed to ensure a clean digital record. The files are then indexed using the client reference, client name and matter number before being exported into Davisons’ chosen document management system, ready for import by each office.

Where original documentation must be retained, Paper Escape carefully identifies and returns important legal and cherished documents, including Wills, Probate documents, Deeds, Bound certificates, and Birth and death certificates.

This gives Davisons a secure digital archive while ensuring legally significant original documents remain protected.

The result

With thousands of files now digitised, Davisons can locate documents far more quickly, regardless of which office originally held the paper file. Staff can securely share links to digital records instead of moving physical files between offices, reducing delays and improving collaboration across the business.

The solution has also helped create tidier workspaces by removing archived paperwork from busy offices, allowing teams to focus on active client matters rather than managing storage.

When previous clients return with questions about earlier property transactions or request historic documentation, staff can retrieve information much faster, helping deliver a more responsive service and a better client experience.
